This privacy policy applies to the erleben.app website, including its information pages, the sample editor, the contact form and the appointment booking service. For the experience apps operated by our customers (for example, under their own subdomain or domain), the privacy policy of the respective operator, which is stored within the app, applies. The section ‘Our customers’ experience apps’ describes the technical processes involved there.

The website is hosted by Hetzner Online GmbH, Industriestr. 25, 91710 Gunzenhausen, in data centres in Germany. A contract for data processing in accordance with Article 28 of the GDPR has been concluded with Hetzner.
When you access the website, the server automatically processes connection data: IP address, date and time, URL accessed, amount of data transferred, the previously visited page (referrer), as well as browser and operating system.
This website uses only technically necessary cookies and storage entries. These are required for the functions you have requested and therefore do not require your consent (Section 25(2)(2) of the German Telecommunications Data Protection Act (TDDDG)). We only load an advertising pixel from OpenAI if you agree in the notice bar (see “Ad conversion measurement”).
To measure reach, we use Umami, an open-source software programme that we operate ourselves on our servers in Germany. Umami does not set any cookies and does not store any identifiers in your browser. Your IP address is not stored; to distinguish between visits, Umami generates a hash value that changes daily and cannot be traced back to you.
The data collected includes pages visited, time spent on the site, the referring website, browser, operating system, device type, screen size, language settings, and the country and region in which you are located. In addition, we track the entry point (e.g. search engine, link, QR code) and the time spent on each page. This data is not combined with other data, nor is profiling carried out.
To detect technical errors, we use Sentry from Functional Software, Inc., 45 Fremont Street, San Francisco, CA 94105, USA. If an error occurs in the browser or on the server, the error message, time, page accessed, browser, operating system, device type and IP address are transmitted. In the event of a browser error, the session history may also be transmitted as a recording (session replay), including the content visible at the time; such a recording only begins once an error has occurred.
We run ads in ChatGPT. To learn whether an ad led to a contact request, we use the Measurement Pixel and the Conversions API of OpenAI Ireland Ltd., 1st Floor, The Liffey Trust Centre, 117–126 Sheriff Street Upper, Dublin 1, Ireland.
The pixel is only loaded once you agree in the notice bar. It then loads a script from OpenAI which receives your IP address, browser details and the page you visited, and may store an identifier in your browser to recognise the click on the ad. When you submit the contact form, the pixel and our server report the event “contact request” to OpenAI together with a random event ID. Your name, email address and the content of your message are not transmitted.
If you contact us via the contact form, we will process your name, your email address, your message and, if provided, your organisation. The message is sent as an email to our inbox at info@erleben.app. The same applies if you contact us directly by email or telephone.
A booking calendar is embedded on the Contact and Support pages. It runs on our own server at cal.scortex.de (Hetzner Online GmbH, Germany) using the open-source software Cal.com; when you access these pages, your browser establishes a connection to this server, which results in the data mentioned under ‘Server log files’ being generated. When you make a booking, we process your name, email address, the selected appointment and any optional details you provide. You will receive a confirmation email containing the access details for the video conference.
The example editor on the Editor page and the map preview on the home page display maps from the OpenStreetMap Foundation (St John’s Innovation Centre, Cowley Road, Cambridge CB4 0WS, United Kingdom). When the map tiles are loaded, your browser transmits your IP address and the selected map section to the OpenStreetMap Foundation’s servers. If you search for a place name in the example editor, this search term is sent, together with your IP address, to the OpenStreetMap Foundation’s Nominatim service; Your draft itself does not leave your browser.
The module library and the example editor display sections from our clients’ published experience apps, exactly as they appear there. Images, audio clips, 3D models and panoramas are loaded from our own servers in Germany; no content from external platforms such as YouTube or Vimeo is embedded. Fonts are embedded locally; Google Fonts or similar services are not loaded.
If, as an organisation, you operate an experience app on our platform, you are responsible for processing your guests’ data; we act as a data processor on the basis of a contract in accordance with Article 28 of the GDPR. Depending on the configuration, the following services are used:

You have the right to access (Art. 15 GDPR), rectification (Art. 16), erasure (Art. 17), restriction of processing (Art. 18), data portability (Art. 20) and the right to object to processing on the basis of Art. 6(1)(f) GDPR (Art. 21). You may withdraw any consent you have given at any time with effect for the future. To do so, please contact info@erleben.app.
